Our client, a deposit-taking (DT) Sacco based in Nairobi, is seeking to fill the role of a Registry Assistant
JOB SUMMARY
Reporting to the Customer Service Officer, the Registry Assistant will be responsible for effective and
appropriate management of Sacco’s record systems of file movements within the office from the date
creation through to the eventual disposition.
ROLES AND RESPONSIBILITIES
Registration of new members joining Sacco.
Prepare, scan, reassemble and index documents ready for filing
Receiving /verification of new members’ application forms.
Activation of dormant accounts
Locate and isolate outdated or unnecessary records ready for disposition or transfer to the
archive according to the Records Management policy guidelines.
Modify and streamline the filing systems by appending identification numbers or codes to the filing
index as directed by the registry officer in charge
Find, retrieve and disburse information from files in response to phone or physical requests from
authorized users
Assign record and or date stamp documents, mail deliveries and other form of incoming as well
as outgoing correspondence handled by the registry
Place materials into storage locations, such as file cabinets, boxes, bins, or drawers, according to
classification and identification information
Prepare monthly reports for the Head of Department
Perform any other duties as may be assigned from time to time
QUALIFICATIONS AND EXPERIENCE
Diploma/Higher Diploma in Records Management or Business Information Management. A degree
In a related field, will be an added advantage.
Demonstrable working knowledge of DMS or EDMS.
Possess working knowledge of a computerized office.
A minimum of three (3) years’ experience in record management in a reputable firm or financial institution shall suffice.
